Customers and organizational structures

Timeworks brings organizations, properties and users together in one booking environment. Organizations can manage their own resources and use shared spaces with agreed permissions. Users see the booking options available to them, while administrators can manage the overall solution.

Make complex organizational structures manageable

  • Organizational hierarchies, sub-organizations, departments and user groups
  • Management of locations, buildings and resource groups
  • Area-, building- and resource group-specific booking permissions
  • Organization- and user-specific roles
  • Controlled use of private and shared resources
  • Contact persons, cost centers and invoicing details
  • Customer- and customer-group-specific pricing and free booking allowances

Bring your organizational structure into the system

Organizations, sub-organizations, departments and user groups are configured to reflect your structure. Organizational structures, roles and permissions are planned together with the customer. The solution adapts from the needs of a single organization to extensive environments shared by multiple organizations.

Restrict booking by location and building

Booking permissions can be assigned to areas, locations, buildings and resource groups. Users’ bookings can be precisely restricted to the spaces, workstations, equipment and other resources they are permitted to use. The same system can cover multiple properties, even when different user groups have different booking permissions.

A view suited to each person’s role

Roles define the information and functions an organization or user can view and use. Examples include read-only access, access to view and use resources, or organization administration. People making bookings, service providers and administrators can have views and permissions suited to their tasks.

Forms and service processes that suit the way you work

Forms, approval practices and views for different user roles can be configured to suit your organization’s processes. A dedicated page explains how booking workflows can be adapted to your needs.

Private and shared resources in the same environment

Organizations can operate independently with their own spaces and services. Shared meeting rooms, parking spaces and other resources can be made available to selected organizations and user groups. Permissions and booking terms govern the use of shared resources.

Customer-specific pricing and booking allowances

Customers and customer groups can have their own price lists and free hours of use included in their agreements. Price lists, agreements, booking terms and approval practices are defined according to needs. Free use can be limited to selected spaces or groups of spaces within a defined period. For example, a tenant’s agreement may include six free hours per month in selected meeting rooms, while excluding the auditorium from the allowance. The tenant receives a notification when the free booking allowance has been used up.

Customer information as part of the booking process

An organization’s contact persons, cost centers and invoicing details support booking processing, invoicing and reporting. Customer relationship management (CRM) and project management can form part of a resource and work management solution in which work and resources are linked to customers and projects.
