Recurring slot seasons and open applications

Administrators prepare the application season, define an application period where needed and verify facility details. For a recurring slot season, applicants can request weekly slots for the whole season, for example. During an open season, applicants can request one-off or recurring times, such as competition and event slots. Open applications can also operate without a fixed application period. The application form guides users to provide the required information, and service roles make it easier to act on behalf of an organization.

Comparing applications and planning time slots

Applications and preferred times are available directly in the system for processing. Administrators compare requests in list and calendar views, edit draft slots and resolve conflicts across the entire requested period. When creating bookings, they can define the facility, time, recurrence and exception dates. An application can also be rejected and the reason recorded.

The time slot application process from the administrator’s and applicant’s perspectives: the administrator opens the application period, the applicant submits an application, and the administrator processes it, plans the time slots and provisionally books the times. The applicant can optionally preview and accept the time slots. The administrator finalizes the application, activating the bookings. An application can also be rejected.

Optional preview and acceptance of time slots

The process can include a preview for applicants and acceptance of allocated time slots. During the preview, applicants see the planned bookings; adding information and accepting slots take place at the later acceptance stage. At that point, applicants can check and complete booking details, divide times between teams, for example, and accept slots in full or in part, or decline them. These stages are introduced according to the municipality’s practices.

From application to active bookings

Once the required details and any acceptance of time slots are complete, administrators finalize the application and the slots become active bookings. Administrators can complete the details themselves instead of using the acceptance stage. Applicants can see the processing status, and key time slot application communications can be automated by email to applicants and their organizations.
